Before attempting to set your new email account up in your email program, please log in to the webmail first in case you need to set up your password. Please note that you won't be able to proceed if this is not done.

To access your webmail, go to:

mail.zoho.com

To login, click on the LOGIN button at the top right of the page:

 

Steps to Configure Zoho Mail account as IMAP in Outlook for Windows

1. Log in to your Zoho Mail account to enable IMAP access.

  • Login to www.zoho.com/mail >> Settings >> Mail Accounts >> IMAP Access >> Enable IMAP Access by clicking the checkbox.

2. Launch the Microsoft Outlook application in your Windows system.

3. Click File and select Add Account.

4. Locate and select 'Manual setup or additional server types', and click Next

5. In the ‘Choose Service’ page, select 'POP or IMAP', and click Next.

6. In the 'Add Account' page, provide the following details:

  • User Information

    • Your name: Your preferred display name. This will be used in the emails you send from Outlook.

    • Email address: Your Zoho account email address (user@domain.com or email aliases for organisation accounts or username@zoho.com, if you have a personal account)

  • Server Information: For specific configuration related to your account, check this section.

    • Select IMAP from the Account Type menu.

    • Incoming server: imappro.zoho.com - for organisation accounts (if your domain is hosted with Zoho).

    • Outgoing Server: smtp.zoho.com

  • Logon Information:

    • Username – The email address of your Zoho account (user@yourdomain.com for Email Hosting users).

    • Password – Zoho Account Password (Use Application-specific Password if Two-Factor Authentication is enabled for your account.)

7. Ensure that 'Remember Password' is checked, and click More Settings.

8. Outgoing Server tab: Select My outgoing server (SMTP) requires authentication and ensure that Use same settings as my incoming server is checked

9. Select the Advanced tab and configure the Settings as follows:

  • Incoming Server (IMAP): 993

  • Select SSL from the drop down menu for encrypted connection.

  • In Outgoing Server, Select SSL from the drop down for the encrypted connection.

  • Outgoing Server (SMTP): 465

  • Click OK

  • You will be redirected back to the 'Add New Email Account' section.

  • Click Test Account Settings to check the configuration info.

10. When the tests are successful, Outlook will display a popup as shown below. Click Close. If you see any errors, check the troubleshooting section.

Test Account Settings

To change Axigen server settings to Zoho in Outlook

If you were previously using Axigen mail you can just change the server settings in Outlook without having to add, change, or remove any accounts.

  1. Click on File in the menu bar at the top of the window.
  2. From the Info menu, select Account Settings > Server Settings.



  3. Continue from Step 9 in the guide above to change the incoming and outgoing server settings.

Specific Instructions for Outlook IMAP

Sent Items

By default, our SMTP Servers automatically place sent emails in the Sent folder. However, when you send an email with Outlook, it also saves another copy in your Sent folder there.

To avoid duplicates in the Sent folder, change the following settings:

In Zoho Mail:

You can turn off the copy created by the server in the SMTP settings. Refer here for instructions.

However, you can also change the settings in the email client you use.


In Outlook 2007:

  • From the Tools menu, select Options and then Preferences
  • Choose Email Options and uncheck Save Copies of messages in Sent Items folder.


In Outlook 2010:

  • Select your Zoho account from the Account Settings menu and click Change
  • Choose More Settings, click Sent Items and select, Do not save copies of sent items.


Downloading full messages

By default, Outlook downloads just the Sender, Subject, and the Date Information (headers) when syncing email. It downloads the full message only when you click on that email. You can change this behaviour by changing the Send/ Receive Settings.

Specific Instructions for POP3 accounts

If you have requested a POP3 email account, you will need to follow the instructions below.

Please note, Acuiti does not recommend using POP3 email accounts. Emails using POP3 protocols will be saved to your local device and REMOVED FROM THE SERVER. Acuiti and Zoho will not have backups of these emails and are not responsible for any emails lost in these accounts.

Steps to Configure Zoho Mail account as POP in Outlook

  1. Log in to your Zoho Mail account to enable POP access. (Login to www.zoho.com/mail >> Settings >> Mail Accounts >> POP >> Enable POP Access by clicking the checkbox).
    Please note: Acuiti may have already completed this step for you during the migration.
  2. Launch the Microsoft Outlook application in your system.

  3. Click File and select Add Account.

  4. Locate and select 'Manual setup or additional server types', and click Next

  5. In the ‘Choose Service’ page, select 'POP or IMAP', and click Next.

  6. In the 'Add Account' page, provide the following details:

    User Information

    Server Information: For specific configuration related to your account, check this section.

    Incoming server: poppro.zoho.com - for organization accounts (if your domain is hosted with Zoho).
    Incoming Server: pop.zoho.com - for personal accounts (if you have a personal @zoho.com account)
    Outgoing Server: smtp.zoho.com
    Logon Information:
    Username – The email address of your Zoho account (user@yourdomain.com for Email Hosting users / username@zoho.com for personal users).
    Password – Zoho Account Password (Use Application-specific Password if Two-Factor Authentication is enabled for your account.)

  7. Ensure that 'Remember Password' is checked, and click More Settings.

  8. Outgoing Server tab: Select My outgoing server (SMTP) requires authentication and ensure that Use same settings as my incoming server is checked.
  9. Select the Advanced tab and configure the Settings as follows:
    Incoming Server (POP3): 995
    Select the This server requires an encrypted connection (SSL) checkbox.
    Outgoing Server (SMTP): 465
    In Outgoing Server, Select SSL from the drop down for the encrypted connection.
    Click OK

    You will be redirected back to the 'Add New Email Account' section.
    Click Test Account Settings to check the configuration info.

  10. When the tests are successful, Outlook will display a popup as shown below.
  11. Click Close. If you see any errors, check the troubleshooting section.

Exchange Active Sync

You can configure your account via Exchange Active Sync from your mobile devices. Zoho Mail Suite supports the sync of email, calendar, and contacts from iOS and Android devices. For Blackberry devices, you can sync calendar and contacts, as email sync is not supported. The Exchange Active Sync is supported for all accounts. For organization accounts, the administrator should enable the Active Sync access for the account.

Zoho Sync for Android and iOS uses Microsoft® Exchange ActiveSync® protocol to perform wireless synchronization of Zoho Applications with the built-in iOS/ Android device applications (Contacts, Calendar, and Mail).

Server: msync.zoho.com
Username: Your Zoho Email Address (user@yourdomain.com for hosted accounts/ user@zoho.com for non-hosted accounts)
Password: Your Zoho Password (If Two Factor Authentication is enabled, use Application Specific Password)
Domain: Leave Blank / Provide your domain name

While using Active Sync, you can choose the data you want to sync from your devices. Go to Settings >> General >> Active Sync . You will find separate Enable/ Disable options for Mail, Calendar and Contacts.

 

Zoho for Apple devices

  1. Ensure that IMAP Access is turned on for your account. (Login to Zoho Mail >> Settings >> Mail Accounts >> Email forwarding and POP/ IMAP >> Enable IMAP)
  2. In your iPhone, Tap Settings >> Accounts and Passwords >> Add Account and choose Other >>  Add Mail Account

  3. Provide your Name, Email Address, Password and a short description to the account. Tap Next
  4. If Two Factor Authentication is enabled for your account, provide Application Specific Password to configure the account.

  5. On the next screen, ensure that IMAP is selected in the top for account type. To configure your account as POP in your iPhone, refer here for configuration details to be used.
  6. In the Incoming Mail Server section, provide the details below.
    1. Host Name : imap.zoho.com
    2. User Name : Your Zoho Email Address
    3. Password :  Your account password. (You may require Application Specific password to set up the account in other devices if Two Factor Authentication is enabled for your account)
  7. In the Outgoing Mail Server section, provide the details below
    1. Host Name : smtp.zoho.com
    2. User Name : Your Zoho account email address (user@yourdomain.com)
    3. Password : Your Zoho Password (You may require Application Specific password to set up the account in other devices if Two Factor Authentication is enabled for your account)

  8. The device connects to the IMAP server and authenticates the credentials provided by you. Upon successful authentication, the IMAP account is set up on your mobile device.

To configure folder settings for synchronization, select the new account and Click Advanced. In Mailbox behaviors, Map the iPhone/ iPad/ iPod folders to the folders on the Server.
